The booking is from 2.00 p.m. on that day to 10.00 a.m. the Saturday following. Please keep to these times unless the same transport is conveying both the incoming and outgoing families. You can print off instructions for getting to the site by logging on to www.ssvpscotland.com, selecting Caravan Holidays from the menu and clicking the location link for the appropriate site. The instructions include a sketch plan of the camp showing the position of your caravan.. The key for your caravan can be collected from the Camp office. To do this you MUST show this letter to the office staff. This is by arrangement with the camp and they will not hand over the key without this authority. The key is not available before 2.00 p.m.. May I remind you that a member of your conference MUST accompany the family to the site - firstly to assist them in settling in and secondly to make the essential check of the condition of the van. A conference member must also return at the end of the week to recheck the condition in which the van is being left and to return the key. MAY I REMIND YOU THAT CONFERENCES USING THE CARAVANS MUST SUPPLY THEIR OWN LINEN UNLESS THE FAMILY BRING THEIRS Please do remember that the caravans are yours and not the sole property of the Archdiocesan Council. It is up to all of us to keep them to a high standard of repair and condition. If the family has met with a problem, please help by sending in the completed ‘Check List’ letter immediately so that following families are not inconvenienced. Mishaps occur and no blame will be attached to the family or conference. If there is damage of any kind we want to know quickly so that it can be put right. Please ask families to help protect the new carpets fitted in the caravans by using the rear rather than the front access in wet weather. Please ensure that the key is returned to the Camp Office at the end of your week so that it is available for the incoming Conference and family. Finally, I hope that the family has a happy holiday and thank you for your co-operation in what I have asked of you PLEASE NOTE THESE TWO IMPORTANT POINTS 1) Care of the Caravan Every so often we get a case where the caravan is not left in a proper condition by the occupants and this creates major problems for the SSVP team in getting the van ready for the next guests. It must be emphasised to all conferences that they or the guests must provide the linen, should not interfere with the boiler in the van or its settings, should clean the van thoroughly before leaving - especially clean the cooker - should be careful to avoid damage to the van and should show consideration by refraining from smoking within it. Whilst it is recognised that it is difficult to prevent guests from smoking, it should nevertheless be pointed out to them that the smell pervades the van and is unpleasant for the next occupants. They should therefore show some consideration for those who follow them. WOULD YOU PLEASE BRIEF YOUR GUESTS BEFORE ENTRY AND ENSURE THAT THEY KNOW AND UNDERSTAND THEIR RESPONSIBILITIES 2) Site Passes I understand that not everyone is aware of the fact that passes are available for the various facilities at the Port Seton site. Without a pass the cost of using the facilities is very much higher. Passes, if purchased at the time that occupancy of the caravan is taken up, cost £3.00 per person and £1.50 per child. They cannot be purchased later by the tenants at this advantageous price so it is important that conferences taking families to Port Seton ensure that they ask for the passes at the office immediately on arrival. Note that the normal price for the passes is £20 per person which would effectively exclude many of the families we send to the caravans. Please ensure that they are requested by the conference on behalf of the guests at the time that the key is uplifted. There are no passes at Pettycur Bay. Conferences may wish to give families a contribution towards entertainment cost there. Michael Balfour Archdiocesan President
